Customer zero · our own sales funnel

Every business sells. Here is how our agents run our funnel.

Leads, follow-ups, discovery, offers and the CRM: at NextShift, AI colleagues do the groundwork at every stage, and a person decides what goes out. This is what we build for your sales team.

One deal, one Wednesday morning
30 min
of senior work to move a warm deal to offer prep, by our founder's own estimate
5 min
for Nova and Atlas: deal context, first discovery round, email ready, CRM updated
18 min
from the partner's request to the email in their inbox, after one edit and one Send

Not measured yet: whether the client answers every question, and whether the offer gets signed. Read the full story in Field Notes.

The funnel, stage by stage

Deals rarely stall on price. They stall waiting for someone senior.

Each agent is defined like a hire: a role, a human owner, hard limits, and an autonomy level it earns from graded work. Here are ours, at the level they run today.

01 · Lead capture

Snapshot Reader

Level 4 · Acts

Reads a prospect's website, asks six questions a website cannot answer, and hands back a report with the hours at stake. Validated on 13 company sites, at about one cent per run.

Never: invents a fact. What is not on the site stays "not mentioned", and a contact reaches the CRM only with consent.

02 · Prospect research

Nova, Head of Commercial

Level 4 · Acts

New contacts go into the CRM the same day, with source and a checked LinkedIn profile. Before a first meeting, one account note: recent signals, public appearances, our read, what not to say.

Never: contacts anyone. Research prepares a person, it does not replace them.

03 · Follow-up

Nova

Level 3 · Drafts

Drafts the follow-up while the conversation is still warm. The first one brings value, not an offer, and proposes two concrete slots. The CRM task is rewritten after every message, so it never describes a step already done.

Never: sends. Every message goes out from a person who read it.

04 · Discovery

Atlas, Senior Business Analyst

Level 3 · Drafts

Runs the first written discovery round: a short sketch the client can react to, then the questions that decide the scope. Call transcripts are kept on the account, so nobody asks the client twice.

Never: asks what the CRM, the website or an earlier call already answered.

05 · Offer prep

Nova with Atlas

Level 3 · Drafts

Turns discovery into a scoped proposal. Atlas checks what delivery can really carry before anything is promised; Nova shapes the commercial side.

Never: puts a price in writing before the scope is clear. Commercial terms belong in the conversation.

06 · Opportunity management

Nova

Level 4 · Acts

Keeps every deal current: stage, a note on what happened and why, the next step with a deadline, a placeholder in the calendar until the real invite arrives.

Never: closes or drops a deal. Pipeline decisions stay with people.

How autonomy is earned

Level 1

Human does it

The agent watches and learns the pattern.

Level 2

Shown once

Repeats the task on examples, offline.

Level 3

Drafts

A person approves every output before it goes out.

Level 4

Acts

A person reviews after, from the record.

Level 5

Self-checks

Flags its own uncertain cases for a person.

Level 6

Improves

Proposes changes to itself; a person ratifies them.

The rules every agent follows

Nothing reaches a client without a person pressing Send. Facts come from a source, never from a guess. Inboxes and chats are read only on request, only the conversations named. Agents move up a level only on graded work.

For your sales team

Look at your own funnel

The stage between the first good conversation and the offer

How many days do deals sit there? Who does the discovery, and what paid work are they pulled from to do it? That is where pipeline quietly leaks. It never shows up as a lost deal, only as a slow one.
